What we collect, and what we do with it

This page covers the ayva.co.in website. It is written to be read, not to be survived — if anything here is unclear, email us and we will explain it in plain words.

What this page does not cover

Ayva Technologies builds HireOrbyt, Campus360 and SkoolBook. If your school, college or employer uses one of those products, the data inside it — student records, candidate interviews, attendance and so on — belongs to that organisation, not to us. We process it on their instructions, under our agreement with them, and their own privacy notice governs it. Ask them, and they can ask us.

Everything below is about this website only: the contact form, and the analytics on these pages.

What we collect

What you type into the contact form
Your name, email address, the organisation you mention, your subject line and your message. If you fill them in, also your phone number, city and role.
Why: So a person can read it and reply to you.
How you arrived at the form
The page you submitted from, the site that referred you, and any campaign tags in the link you followed (utm_source, utm_medium, utm_campaign).
Why: So we know which channels bring genuine enquiries and can stop spending on the ones that do not.
Anonymous page analytics
The page path, the referring site, your country and whether you are on a phone, tablet or desktop. We do not store your IP address, we do not set a cookie for this, and there is no identifier — so these records cannot be traced back to you.
Why: To see which pages people actually read.
Account details, if you sign in
If you have a portal account with us, the details you or your organisation provided when it was created, plus a session cookie while you are signed in.
Why: To sign you in and show you the right workspace.

That is the complete list. We do not buy contact data, we do not run advertising pixels, and we do not build profiles of visitors.

Cookies

We use Google Analytics to understand which pages people read. It sets two cookies — _ga and _ga_E4BF7KBGCX — which let it tell a returning visitor from a new one. We do not use them for advertising, remarketing or building a profile of you, and we do not share the data with advertisers.

If you would rather not be counted, any browser setting or extension that blocks analytics cookies will stop it, and nothing on this site will break as a result.

Beyond that: a single session cookie is set only if you sign in to a portal account, to keep you signed in. We also use Vercel Analytics and Speed Insights, which measure traffic and page-loading speed in aggregate and set no cookies at all.

Who else sees it

Nobody buys it, and we do not sell or rent it. It reaches three kinds of company, all of them working for us under contract:

Our hosting and database providers, who store it. Our email provider, which delivers the notification to us and the confirmation to you. And our analytics providers, for the aggregate page statistics described above.

We would also disclose information if the law required it of us. If that ever happens and we are permitted to tell you, we will.

Where it is stored

Our database is hosted in Singapore (the ap-southeast-1 region). Your information therefore leaves India, which we would rather state plainly than bury. Traffic to and from it is encrypted, and access is limited to the Ayva staff who need it.

How long we keep it

Enquiries: while we are talking, and for up to 24 months afterwards so we have the context if you come back. Ask us to delete it sooner and we will.

Anonymous page analytics: kept indefinitely, because there is nothing in those records to identify anyone.

Account details: for as long as the account is open, then as set out in the agreement with your organisation.

Your choices

Whatever the law where you live, this is what we will do if you ask:

  • Ask for a copy of what we hold about you.
  • Ask us to correct anything that is wrong.
  • Ask us to delete it. If you have no account and no open conversation with us, we will simply delete it.
  • Ask us to stop contacting you, which we will do without asking why.

Email info@ayva.co.in and say what you want. We aim to reply within 7 working days. We will not ask you to fill in a form to exercise a right.

Children

This website is aimed at schools, colleges and employers — that is, at adults acting for an organisation. We do not knowingly collect information about children through this site. Children's data inside SkoolBook and Campus360 is handled under the agreement with the school or college that operates them, as described at the top.

Changes to this page

When we change what we collect, we update this page in the same change, and the date at the top moves. There is no archive of previous versions; if you need one for a procurement or compliance file, ask and we will send it.
